Feedbok Terms of Service

Welcome to Feedbok (“Feedbok,” “we,” “our,” or “us”). Feedbok provides QR-code based feedback collection and AI-powered feedback summarization services.
By accessing or using Feedbok, creating a QR code, or submitting feedback through a Feedbok QR code, you agree to these Terms of Service.
If you do not agree, do not use the Service.
1. Eligibility
You must be at least 18 years old, or the age of majority in your jurisdiction, to create a Feedbok account.
Individuals submitting anonymous feedback may use the Service only if permitted under applicable law.
2. Description of the Service
Feedbok allows users to:
- Create QR codes that collect anonymous feedback.
- Receive AI-generated summaries of submitted feedback.
- Manage and delete their QR codes and associated summaries.
Feedback submitted through Feedbok is processed using automated systems, including artificial intelligence.
3. User Responsibilities
You are solely responsible for any information you submit or make available through Feedbok.
By submitting content you represent and warrant that:
- you own or have the legal right to submit the content;
- your submission does not violate any law;
- your submission does not infringe any copyright, trademark, privacy, publicity, confidentiality, or other rights;
- your submission is accurate to the best of your knowledge;
- you are not submitting confidential information unless you have authority to do so.
You acknowledge that Feedbok does not verify the accuracy of user submissions.
4. Prohibited Content
You agree not to submit content that includes or promotes:
- illegal activity;
- harassment;
- threats;
- hate speech;
- child exploitation;
- sexually explicit material involving minors;
- malware;
- phishing;
- impersonation;
- spam;
- copyrighted material you do not own;
- trade secrets;
- confidential information belonging to another party;
- personal information that you do not have permission to disclose;
- content intended to deceive or defraud others.
Feedbok reserves the right to remove any content, suspend accounts, or cooperate with law enforcement where required by law.
5. AI Processing
Feedbok uses automated artificial intelligence systems to process submitted feedback.
These systems may include OpenAI GPT models or other language models.
AI-generated summaries are intended to assist users and may contain inaccuracies.
Feedbok makes no guarantee that summaries are complete, accurate, unbiased, or suitable for any particular purpose.
Users are responsible for reviewing AI-generated results before relying upon them.
6. Intellectual Property
Feedbok owns all rights in the Service, including software, branding, interfaces, and documentation.
Users retain ownership of any content they lawfully submit.
By submitting content you grant Feedbok a worldwide, non-exclusive, royalty-free license to process, store, transform, paraphrase, summarize, and display that content solely for operating and improving the Service.
7. Acceptable Use
You agree not to:
- reverse engineer the Service;
- interfere with security;
- attempt unauthorized access;
- scrape or copy the Service;
- use the Service for unlawful purposes;
- use the Service to collect information in violation of applicable privacy laws.
8. Indemnification
To the fullest extent permitted by law, you agree to defend, indemnify, and hold harmless Feedbok, its owners, employees, contractors, affiliates, licensors, and service providers from any claims, damages, liabilities, judgments, losses, costs, and expenses (including reasonable attorneys’ fees) arising from:
- your use of the Service;
- your submitted content;
- your violation of these Terms;
- your violation of applicable law;
- your infringement of any third-party rights.
9. Disclaimer of Warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.”
TO THE MAXIMUM EXTENT PERMITTED BY LAW, FEEDBOK DISCLAIMS ALL WARRANTIES, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ACCURACY.
WE DO NOT GUARANTEE THAT THE SERVICE WILL BE ERROR FREE, UNINTERRUPTED, SECURE, OR FREE OF HARMFUL COMPONENTS.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, FEEDBOK SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES.
IN NO EVENT SHALL FEEDBOK’S TOTAL LIABILITY EXCEED THE GREATER OF:
- THE AMOUNT PAID BY YOU TO FEEDBOK DURING THE PRECEDING TWELVE MONTHS; OR
- US $100.
Some jurisdictions do not allow certain limitations. Those limitations apply only to the extent permitted by law.
11. Termination
Feedbok may suspend or terminate accounts at any time if these Terms are violated or if necessary to protect the Service or other users.
Users may delete their QR codes at any time.
12. Governing Law
These Terms are governed by the laws of the State of Oregon, United States, excluding conflict-of-law principles.
Where permitted by law, disputes shall be resolved exclusively in the state or federal courts located in Oregon.
Nothing in these Terms limits mandatory consumer rights available under applicable law.
13. International Users
Feedbok is operated from the United States.
By using the Service, you understand that your information may be transferred to and processed in the United States.
Where required, Feedbok will comply with applicable privacy laws including the GDPR, UK GDPR, CCPA/CPRA, the Australian Privacy Act, and other applicable data protection laws.
14. Changes
We may modify these Terms at any time.
Continued use of the Service constitutes acceptance of the updated Terms.

Feedbok respects your privacy.
This Privacy Policy explains how information is collected, processed, stored, and deleted.
Information We Collect
QR Code Owners
Depending on how you use Feedbok, we may collect:
- account information;
- email address;
- billing information (if applicable);
- usage analytics;
- device information;
- IP address;
- browser information.
Anonymous Feedback Submitters
When someone submits feedback through a Feedbok QR code:
We do not request or intentionally collect:
- name;
- email address;
- mailing address;
- phone number; or
- other directly identifying information.
Please do not include personal information in your feedback responses.
How Feedback Is Processed
When you submit feedback through a Feedbok QR code:
- Your response is screened by an automated moderation system to detect prohibited or unsafe content.
- The response is processed using OpenAI GPT to generate a paraphrased version designed to remove verbatim wording before storage.
- The original wording is not retained in our database after processing.
- The paraphrased response is securely stored.
- Once enough responses have been collected, the stored paraphrases are used to generate an AI summary.
- The summary is delivered to the QR code owner using the tone selected by that owner.
Data Retention
Individual feedback responses (stored as paraphrases) are automatically deleted after 90 days.
Generated summaries remain available until the associated QR code is deleted by its owner.
Account information is retained only as necessary for legal, security, operational, or tax purposes.
How We Use Information
We use information to:
- operate Feedbok;
- generate summaries;
- improve AI performance;
- maintain security;
- prevent abuse;
- comply with legal obligations;
- provide customer support.
AI Providers
Feedbok uses OpenAI and may use additional AI providers in the future.
Information submitted through the Service may be processed by these providers solely to perform requested services.
Legal Bases (GDPR / UK GDPR)
Where applicable, processing is based upon:
- legitimate interests;
- performance of a contract;
- legal obligations;
- consent where required.
California Privacy Rights
California residents may have rights to:
- know what information is collected;
- request deletion;
- request correction;
- request access;
- appeal certain decisions where applicable.
Feedbok does not sell personal information.
European Privacy Rights
Individuals in the European Economic Area and the United Kingdom may request:
- access;
- correction;
- deletion;
- restriction;
- portability;
- objection where applicable.
Australia
Where applicable, Feedbok will handle personal information in accordance with the Australian Privacy Act and related regulations.
Cookies
Feedbok may use cookies and similar technologies for authentication, security, analytics, and service functionality.
Users may disable cookies, although portions of the Service may not function properly.
Security
Feedbok maintains reasonable administrative, technical, and organizational safeguards designed to protect information.
No Internet transmission or storage system can be guaranteed to be completely secure.
Children’s Privacy
Feedbok is not directed toward children under 13.
Where local law requires a higher age threshold, those requirements apply.
We do not knowingly collect personal information from children.
Third-Party Services
Feedbok may use trusted third-party providers for:
- cloud hosting;
- payment processing;
- analytics;
- email delivery;
- AI processing;
- security monitoring.
Each provider operates under its own privacy policies.
Data Deletion Requests
QR code owners may delete their QR codes at any time.
Deletion of a QR code permanently removes its associated summaries in accordance with our retention procedures.

Changes
This Privacy Policy may be updated periodically.
Continued use of the Service constitutes acceptance of the revised policy.
